The two files that travel with the container

Every frozen dessert shipment carries a commercial file and a food-safety file. They are prepared by different people and reviewed at different points, which is why mismatched product descriptions cause more clearance delays than missing paper.

The test is simple: the product description, carton count and gross weight must read identically on the invoice, packing list, transport document and any health certificate. A shipment is usually stopped because two documents disagree, not because one is absent.

  • Commercial: invoice, packing list, bill of lading or air waybill, certificate of origin
  • Product: specification with piece weight, pieces per carton, carton count and gross weight
  • Food safety: health or sanitary certificate where the market requires it, plus test reports
  • Labelling: ingredient, allergen and nutrition statements in the required language

Cold chain decides the booking before volume does

A -18°C product cannot be consolidated with ambient cargo, so the shipment is planned around reefer capacity rather than around cubic metres. That changes the loading window at the factory and the dwell time the cargo can absorb at the port of discharge.

Long shelf life helps here. The Longki molded range carries 18 months at -18°C or below, which lets production be scheduled against vessel space instead of the reverse. The temperature has to hold from loading, though, not from arrival: a reefer that is set at the quay is already late.

Classification and duty are confirmed locally

Frozen desserts are normally classified under HS heading 2105, covering ice cream whether or not it contains cocoa. The six-digit heading travels with the quotation, but the national tariff line and the duty rate belong to the destination customs authority and the importing broker.

Where a trade agreement applies, the certificate of origin and the consignment value must match the commercial invoice exactly. A certificate issued on different figures is the most common reason a preferential rate is refused after arrival, and it is rarely recoverable once duty has been paid.

Labelling is built market by market

No single label satisfies every destination. The structure is similar everywhere, with product name, ingredient list, allergen declaration, net content, storage statement and importer details, but the order, language and nutrition format change from market to market.

The sequence that avoids a second print run: confirm the market and label language first, then the recipe and allergen profile, then the nutrition values from the finished-product test, and only then the artwork. Printing before the nutrition data exists is the usual cause of reprints.

Shelf life sets the order calendar

With 18 months of shelf life at -18°C, the binding constraint is the production date the importer's customer will accept, not the shelf life printed on the carton. A buyer who needs a minimum remaining shelf life on arrival should state it before the production slot is booked, because it decides how much sea time the shipment can carry.

The same figure sets the sample window. A sample sent by sea to prove quality can arrive with a shortened remaining life, so cold-chain samples are normally quoted by air with the courier route confirmed before dispatch.

A pre-shipment checklist

Five items close the gap between an approved order and a clean clearance.

  • Identical product description on invoice, packing list, certificate of origin and health certificate
  • Reefer set point and temperature recorder confirmed with the forwarder
  • Carton count, gross weight and pallet plan agreed before VGM submission
  • Label artwork approved in the destination language with importer details completed
  • Minimum remaining shelf life on arrival agreed in writing
Important: Product specifications, import rules and required documents vary by SKU and destination. Confirm the applicable requirements with the selected supplier, importer and qualified local advisers before ordering or printing labels.
