Clarify which role the supplier will perform
An Asian food supply chain may involve a manufacturer, brand owner, distributor, exporter, consolidation warehouse and freight provider. One company can coordinate several roles, but the buyer should know who makes the product, who owns the brand and who is responsible for export communication.
This distinction is particularly important for original branded products. A distributor can be a legitimate supply partner without being the manufacturer or offering private label.
Check category depth, not catalogue size
A long product list does not prove that every item is active or export-ready. Ask for current product codes, representative packaging, specification status and recent availability in the categories that matter to your business.
For multi-category projects, assess whether the supplier can coordinate different factories and storage conditions without losing traceability.
Review how product information is controlled
Strong suppliers can explain how samples, specifications, labels and order changes are recorded. Ask who verifies ingredient statements, pack details and certificates before they are sent to the buyer.
When information is still pending, a reliable supplier should say so and define the next verification step rather than filling gaps with generic marketing language.
Test the quotation and sample process
Send a focused request containing a few representative SKUs. Compare how suppliers clarify missing information, structure quotations and explain sample costs, lead times and limitations.
A useful quotation states the product basis and commercial assumptions. It should not force the buyer to guess whether prices refer to different grades, cartons or trade terms.
Assess export coordination and escalation
Ask how the supplier handles supplier delays, label corrections, inspection findings and document changes. The quality of escalation is often more important than a promise that problems never occur.
Before placing an order, agree on key contacts, approval milestones and which party is responsible for freight booking, destination compliance and customs clearance.
